Instructions for authors
Papers accepted for EVA London will be published both in the bound copy proceedings that all delegates will receive as part of their conference registration and also in the online proceedings.
Deadlines and submission
The deadline for submitting your full paper for publication is Wednesday 22rd March 2017. This must be strictly observed. You must use the files provided at the bottom of this page to prepare your paper. Upload your final paper to the EVA2017 EasyChair system using the same account/submission number as your abstract.
You must also sign and return an EVA eWiC Licence to Publish form. All authors must submit a licence with their paper manuscript, preferably by scanning and emailing according to the instructions on the form itself. Without this form your paper cannot be published. See the instructions on the form.
Options for papers
Options for papers are as follows:
- Full paper and paper and demo, accepted for the conference: 8 pages
- Presentations accepted as demo, for the Research Workshop and for the Exhibition: An abstract consisting of 1 page of text and 1 page of images.
Preparing your paper
The files referred to here can be downloaded from the list on the top right of this page.
It is essential that you prepare your paper following the style and format given in these documents. It is very important to read carefully and follow:
- the instructions in the EVA2017 Author Guidelines, and
- the detailed guidelines given in the eWiC Information for Authors.
You may use the EVA2017 full paper template Word document as a starting point and replace the sample text with that for your paper, so that you use the required styles. Or alternatively, you can follow the instructions in the eWiC Information for Authors.
You are advised to take account of the reviewers’ comments, which have been sent to you. Accepted papers may be edited for clarity and grammar. Please make sure that grammar and spelling are correct, as it is not possible for the editors to do extensive editing, and your paper may be rejected for this reason.
Papers will be reviewed immediately after the submission deadline and a final decision made to publish or not. Occasionally it may not be possible to publish a paper, for a variety of reasons. If so, we will still very much welcome your presentation at the conference.

Registration arrangements include a special reduced rate for speakers.
We hope to be able to offer a few bursaries later in the year. Bursaries would cover the registration fees only; we cannot offer assistance with travel or accommodation costs. Bursaries are only for those who have exhausted all other possibilities for funding. Therefore you should apply to every possible alternative source. The number of bursaries will be very limited and we expect that demand will be high, so not every request will succeed. Please make sure you have financial arrangements to cover attendance before you finally confirm attendance or send in a paper.
We regret that EVA cannot supply letters of invitation or support.
