If you are presenting a paper or demonstration at EVA London 2024, please carefully read the information below.
Please note that your presentation or demonstration must take no longer than 20 minutes in total, including setup and handover time – or sometimes 30 minutes for combined papers/demos and panel sessions. This includes any setup time and optional questions. Do liaise with your session chair and check that all is working in the break before your session, not during the session itself!
Time limits are strictly adhered to. Please watch your session chair for any signals to stop speaking during your talk. If you want to invite questions you must allow time within the 20 minutes. You would not want to find you have only 5 minutes because others have overrun, so please be considerate of others and make absolutely sure your presentation fits in the allocated time. Session chairs will be sticking strictly to time – please help them achieve this.
The conference will be hybrid in nature using Zoom, which adds additional issues, especially with respect to audio feedback echo, etc. Presentations can be online using Zoom or physical at the conference venue. If you plan anything more than a standard PowerPoint/PDF presentation (e.g., video, audio, internet access, etc.) please do ensure that you are fully set up and tested before the talk. We intend to have IT support on hand, but this is best resolved before rather than during your talk time. If you use your own laptop at the venue, this can often cause Zoom issues such as sound feedback, etc. and delay the start of your talk. At the venue, it is easiest and safest to have your PowerPoint/PDF presentation on a USB stick and to use the standard laptop provided.

Demonstrations
VR demonstration at EVA London 2023
Demonstrations are a distinctive feature of EVA London. Instead of a conventional talk with slides, you would offer an interactive demonstration of a technology or a project: a ‘show and tell’ session where delegates might be able to interact and ask questions. Ideally, you would bring physical objects or equipment to be shown and demonstrated or passed around.
Demonstrations have the same importance as more conventional papers and are allotted up to 20 minutes if scheduled during the sessions. Each demonstrator has a specific time slot for the demo portion of their paper. Please liaise with the Demonstration Chair Sean Clark if you have any special requirements for your demo, well in advance of the conference.
Research Workshop
Research Workshop at EVA London 2023
The Research Workshop is a relaxed, informal event. However, it is still very important that you keep to your allotted time slot, as there is a very full programme. Slots will also be 20 minutes, with 15 minutes to speak, followed by 5 minutes Q&A and discussion. Again, please be sure you keep to time; it’s not fair on those who follow if you overrun.
Because we have such a full programme, please bring your research workshop presentation on a USB memory stick, not on your own laptop if possible. Presentation computers are Windows PCs, so if you use Mac or Linux please check that your presentation works correctly on a Windows PC before the conference.
Standard equipment
Hybrid Zoom presentation at EVA London 2023
The main conference room has two LED displays connected to a conference laptop PC running Windows, with an audio connection, Internet access, and a pointing device.
Wherever possible we would prefer you to transfer your PowerPoint or PDF presentation file onto the host computer at the venue, but you may also connect your own laptop (if you are brave and technically adept!). The latter may be needed if you plan to use any non-PowerPoint software (e.g. external video, audio, etc.) If you need to use your own laptop at the venue, please bring any HDMI adapters that you require. However, from experience, this will delay the start of your talk, and may well cause technical (especially Zoom-related) issues. Any non-standard set-up needs to be fully tested well before the talk (e.g., in the break before your session). Seek the help of the IT support team in advance.
Do not necessarily rely on having internet access if you intend to use your own laptop as this is contingent on whether you can connect to the BCS’s wireless network, although normally this should work fine.
